Postgraduate Research Fund Application

In 2026/2027 Postgraduate students are welcome to apply for up to 拢350 (or 拢210 for part-time students as the allocation is pro-rata at 60% of the full-time allowance) to support their research-related activities. The allocation of funds follows the financial year which runs from 1st August to 31st July.

The PG Research Fund is primarily intended for the first 3.5 years of study for self-funding students (6 years for part-time studies), or students without access to a research training grant.

The application must be completed and approved by the PGR Director prior to the funds being spent; retrospective applications will not normally be considered. An application can only be considered if an itemised list of the expected costs is provided.

If your application is approved, you will need to provide evidence of the expenditure (all original receipts), and then complete an expenses claim form Link opens in a new window(form fp16aphd). Please complete in excel if possible. Once the first fp16aphd claim has been processed, the Expenses Team will set students up on the University's online expenses claim system, ConcurLink opens in a new window, and require students to use Concur to submit all claims going forward.

In particular, applicants should note that:

  • ALL overseas (outside of EU) travel bookings, regardless of value, MUST be made via the University Travel Agent, Key Travel
  • Any travel and accommodation bookings in the UK and EU which total more than 拢1000 need to be booked via the University鈥檚 authorised travel agents, Key Travel
  • Any students traveling outside of the UK should complete an BEFORE making any travel bookings. Any travel to amber or red countries (as defined by and Aviva ) will also require students to upload an approved Overseas Pre-Travel Risk Assessment (OTRA) form to the above travel risk management form.
  • Any students who have not completed the Overseas Travel Declaration Form, and an OTRA (if travelling to amber or red countries) prior to travel, will not be covered on the University insurance policy, and will not be able to claim expenses for their travel.
  • All expenses claims should be submitted within 3 months of the expense being incurred
  • The Finance Office have advisories regarding Airbnb accommodation bookingsLink opens in a new window, which are discouraged. Please contact pghistoryoffice@warwick.ac.uk for details.
  • Expenses claims submitted near the end of the financial year (31st July) must be received by no later than the end of the 1st week of July.
  • The University will only consider paying membership fees under certain conditions (see section 16.9 of the Expenses GuidanceLink opens in a new window)

Please note that students already in receipt of funding from research councils are not normally eligible to apply for the PG Research Fund.

For any applications made out of term time, approval may take up to 2 weeks depending on staff availability.
