Extension Requests

While it is expected that students plan their time carefully, it is reasonable to expect that minor disruptions will occur during the assessment period. It is therefore your responsibility to allow for this in your work schedule. However where assessment-related stress has impacted your ability to adequately finish the assessment, you may be granted an extension or mitigation.

Extensions are normally granted only for unforeseen events for example on solid medical grounds, or in cases of severely difficult personal circumstances (such as a bereavement). An extension will not be given where students have failed to plan their work pattern adequately including around the time of the PhD upgrade process. Extensions will also not be granted in cases where late submission is attributable to computing difficulties. Students should make adequate back-up copies of any work produced in digital format and plan to finish and submit pieces of work well before the deadline to allow for unforeseen IT issues.

If granted an extension, students must submit their assignment via Tabula following the normal procedures. Tabula will reflect the extension granted which will allow you to submit at the agreed later date.

There are two different kinds of extensions available: self-certified extensions and assessment-specific extensions.

1. Self-certified extensions

The university has a self-certification policyLink opens in a new window which allows an automatic 5 university working day extension for eligible assessed work without the need for evidence. Students can self-certify twice in an academic year; this policy will be reviewed at regular intervals. One self-certification request covers all summative assessments that fall within the self-certification period (a self-certification period is a maximum of 5 consecutive university working days).

How to request a self-certification extension via Tabula

In order to self-certify, you can use the portal on Tabula which you will find in the Personal Circumstances section of your student profile before the deadline. As long as the assessment is eligible, the self-certification request will receive automatic approval and no evidence will be required.

2. Assessment-specific extensions

Assessment-specific extensions are extensions which are not granted automatically, but are requested by you and considered by the Doctoral College. Assessment-specific extensions of up to 5 working days/ 7 calendar days can be granted by the Cohort Development Officer. Extensions beyond this are not normally permitted. The maximum amount of time for an extension is one calendar month, though extensions will generally be of much shorter duration than this. You will be granted an extension that reflects your individual circumstances - it is not 5 days automatically.

How to submit an extension request

Applications for an assessment-specific extension should normally be submitted before the deadline for the piece of work in question, via the form below. In exceptional circumstances where an advance request has not been possible, students must demonstrate that they were unable to apply for an extension in advance of the submission deadline. The reason for a retrospective request should be clearly stated in the additional information section of the form, and supporting evidence should be included.

Forms of Evidence for assessment-specific extensions

  • Evidence will normally take the form of a letter or medical certificate signed by a healthcare professional (e.g. a doctor or counsellor), a personal tutor or Wellbeing Services. You do not need to provide independent evidence for a bereavement.
  • Please do not send photos of yourself, other people or animals as we need independent signed and dated evidence, and photos can be distressing to reviewers. Please note photos from iPhones (HEIC files) can not be opened on University systems, please submit as a JPEG or PDF.
  • Each piece of evidence must be submitted as a single file in PDF, Word or mainstream image (e.g. JPEG) format. Extension requests that include file formats that do not open, will be sent back without review.
  • File names for evidence must describe the contents of the document, e.g. medicalnote.pdf/ policecrimereference.docx.
  • Prescriptions, medication boxes and test results/ scans cannot be interpreted by departmental reviewers and will need to be accompanied by a medical letter explaining your circumstances and the impact this has had on your assessment preparation.
  • If you have Reasonable Adjustments, please attached your Reasonable Adjustment letter from Disability Services if you have it.
