Changes affecting the 果冻传媒 Research Archive Portal (WRAP)

The university is running a wide-ranging project to update its research administration systems, contributing to its strategic priority to champion and develop state-of-the-art infrastructure. As part of this project, the repository software that supports the 果冻传媒 Research Archive Portal (WRAP) is being replaced.

The repository software (called ) is being decommissioned in 2026, to be replaced by , a solution that鈥檚 integrated with the university鈥檚 new current research information system, or CRIS, called , which is fast-becoming the single source of all data related to research administration at 果冻传媒. The repository will continue to be known as WRAP, but the new software underpinning it will enable this integration with the CRIS. By integrating the repository with Symplectic Elements, alongside researcher profiles, grants and impact data, the end-to-end picture of research activity across the institution will be completed within one system.

You must still 'act on acceptance' when notified that something is going to be published.
Between now and 5pm on 18th August, continue to either use the simple deposit form, or deposit directly into WRAP.
If you have any items pending in to deposit into WRAP, submit them by 5pm on the 18th August, otherwise they will be lost.

Why is this happening?

We ask all our researchers to continue to 鈥榓ct on acceptance鈥� and ensure outputs are deposited into the university repository (WRAP) at the point of acceptance (following the final peer-review stage, when the publisher confirms that the output is going to be published). There are currently two main ways to do this: By making a deposit directly into WRAP or using the Library & Archives simple deposit form.

From 5pm on 18th August onwards, and until further notice, you will only be able to submit publications for deposit using the simple deposit form. Direct deposits into WRAP will be paused to allow us to carry out the switchover between software systems powering WRAP. Support with deposits will also be available by contacting repository@warwick.ac.uk.

What will I see in WRAP during this period?

You will still be able to use WRAP to search for publications during this period and the open access compliance of all publications within WRAP will be maintained. The only differences you will notice is that you won鈥檛 be able to log into WRAP to make a direct deposit and records in the repository will not be updated until we migrate to the new software.

FAQs

Will we still have WRAP?

Yes. The repository system that you can search via WRAP is a proprietary software called ePrints, and this is being replaced by another software called Figshare. The new WRAP, powered by Figshare, will look a bit different to the current one but will still hold all of the records currently available in WRAP.

How will I meet open access requirements during the time deposits are not being taken? Will links to WRAP still work?

What's been happening

The university is making wide-ranging changes to the IT systems it uses to deliver research administration. More information about this project can be found here. As part of this project, the software that powers the 果冻传媒 Research Archive Portal(WRAP)is being replaced. The new software will be integrated with the university's new Current Research Information System, or CRIS, Symplectic Elements. When fully implemented, the CRIS will hold data on research grants and contracts, publications, research impact, open access compliance and researcher profiles.

A project team of colleagues in the Library & Archives and IDG (Information and Digital Group) has been planning and testing the complex data transfer of all existing records into the new system. This is being managed carefully, with a series of test data extracts, issue resolution and further testing, to ensure everything transfers smoothly. This process will take several months, and is expected to conclude in the late summer of 2026.

What this will mean for users

Once the new system is in place, you will submit publications to WRAP via Symplectic Elements, the same system in which you鈥檒l manage your profile and document evidence of the impact of your research. The principle of 鈥楢ct on acceptance鈥� will continue; outputs should be deposited as soon as you know they are accepted for publication; for REF and funder compliance, you will still need to upload the author-accepted version of any journal articles and conference papers to Elements. Guidance will be provided on how to do this. You will also be able to upload other item types (e.g. presentations, grey literature, software) into Elements in order to get them into WRAP, to take advantage of the benefits of open access or meet funder requirements.

What changes will researchers notice?

The main change is that, in most cases, you will not need to notify the WRAP team of a new publication. You will be able to create a record and deposit your publication into Symplectic Elements directly. The exception is very large files (e.g. data sets over 100MB in size), for which the WRAP team (contactable here) will provide support to upload directly into Figshare. In order to give researchers the best possible opportunity to be compliant, the policy of 鈥楢ct on acceptance鈥� remains in place; you should deposit files as soon as you have them, and add any detailed information you can.
